Eligibility
Reservations may be placed by University departments or by Museum members at the Patron or Benefactor levels (see Membership). We regret that wedding ceremonies, political, fund-raising, religious and commercial events cannot be accommodated. All events must be by invitation only; no admission may be charged. Reservations may be made one year to the date in advance, however, the Museum reserves the right to preempt a date no less than six months in advance of the scheduled function if the facilities are needed for Museum events.



Catering
Due to fragility of works on exhibition, all catering setup must be pre-approved by the Museum. The caterer is responsible for set-up as well as clean-up of tables, chairs, food, and food-preparation items. Hosts or guests are not permitted to set-up or clean-up. Alcoholic beverages served according to Virginia ABC regulations are permitted inside the building. Cash bars, beer in kegs, and individual liquor bottles (BYOB) are prohibited. Hosts are responsible for obtaining a Banquet license from the Virginia Department of Alcoholic Beverage Control (434.977.2974) if you are serving alcohol (contact your caterer). The University of Virginia Art Museum does not have tables, chairs, linens or audio-visual equipment available for use by the rental party.


Entertainment and decorations
Hosts may contract directly with musicians for entertainment. Hosts must obtain approval from the University of Virginia Art Museum before bringing in sound amplification systems. Dancing is prohibited in all indoor spaces of the Museum. An outdoor tent can be rented from the Museum for dancing or other functions. Decorations may not be affixed to any part of the Museum building. Certain plants and flowers may be brought in by approved caterers only, and removed directly after the event. Candles, oil lamps, portable space heaters, and open flames of any kind are strictly prohibited in all spaces of the building, as is smoking.


Other Guidelines
It is important to keep in mind that the University of Virginia Art Museum is a working art museum containing many valuable and important works of art and cultural artifacts. The safety of the art should be of primary importance to the renting party and caterers. Obstruction, movement, rearrangement, or disturbance of any work of art is absolutely prohibited. Doing so will cause Museum security staff to immediately end the event and disperse the guests. Vitrines, furniture, and display stands may not be moved, nor may they be used for food and drink. All items relating to the event must be removed immediately following the event. The University of Virginia Art Museum is not responsible for items brought in before or left after an event.

Maximum capacity

The maximum capacity for standing receptions held in the Museum is 250 persons per floor. The maximum capacity for seated dinners is 75 persons (Pine Room Gallery) and 150 (Main Gallery, when available).


Security fees

The security fee provides two guards. All wedding receptions or events of more than 150 guests are required to provide three guards. The total security fee will be based on the number of hours the guards are needed for the event. The guards’ clock begins at 5 p.m. and ends one hour after the closing time of the event, to allow the caterers to clean and clear the premises.

Hourly closing fees

Events must end at the time specified in the confirmation letter. All beverage tables must close 15 minutes prior to scheduled closing of event. An hourly charge of $100 plus $12.50 per guard will be assessed for events extending beyond the scheduled time. Events must conclude by 11 p.m.


Parking
Parking arrangements are the responsibility of the renting party. Parking lots must be reserved through University Parking and Transportation (434.923.7231) if spaces are needed. The Museum cannot reserve parking lots or spaces for the renting party. Museum parking passes will not be issued under any circumstances for rental events.

Reservations
Additional information on rental policies will be provided with a damage disclaimer and confirmation letter once an event has been scheduled.



Payment of fees
An invoice is included with the event confirmation. Payment of all fees is due at least 30 days prior to the date of the event. The Museum accepts personal checks, American Express, Visa and MasterCard.

Cancellation policy
If written cancellation is received 30 days or more prior to the scheduled event, no fee will be charged and all paid rental and security fees will be refunded. Cancellations of less than 30 days prior to the event will result in a $100 cancellation fee.





Photography

The use of cameras for personal purposes is permitted in the galleries only under the following conditions:
  • No photography whatsoever is permitted in special exhibitions or of works on loan to the Museum.
  • Only attached electronic (automatic) flash is permitted.
  • No tripods or extension cords.
  • Video taping, filming, or photography for any professional purpose must receive prior approval through the Museum Collections Manager’s office. Requests should be submitted in writing.
  • Works of art are protected under the United States Copyright law; therefore, any reproduction, distribution, or sale of photographs is not permitted.
