Booking Information

UVA Catering is proud to provide the highest quality service to the University of Virginia community. We have developed the following procedures that enable us to successfully respond to your catering needs.

 

Ordering

  1. Prior to booking with UVA Catering, please contact the building coordinator at your desired location to reserve your date and time. Regrettably, UVA Catering is unable to book locations.
  2. We would appreciate three weeks advanced notice for booking your event; however, we will make every effort to accommodate your group on less notice whenever possible. If you are planning your event within two weeks please call us for assistance with menu planning to ensure the availability of menu items.
  3. We will gladly assist you with orders placed or changed within three business days of your event. A $25.00 fee, as well as other charges, may be necessary when applicable.
  4. Please notify us three weeks in advance of the estimated number of guests attending your function.
  5. To ensure expedient service, we ask that one entrée be selected for plated meals. We will be glad to provide vegetarian meals or accommodate special dietary needs for your guests. Please allow three business days notice and be as specific as possible regarding dietary needs.
  6. When ordering multiple varieties of box lunches for an given event, there may be a minimum of 12 per selection. Please refer to the Box Lunch section of our guide for specific details. We are also happy to provide vegetarian versions of your box(es) upon request.
  7. Hors d'oeuvres may be ordered in any quantity unless an item is designated "per". Any item listed with a "per" quantity needs to be ordered in those increments.
  8. For health and liability reasons, the removal of any unused food or beverage from the event by the client and/or guests is prohibited.
  9. Outside food or non-alcoholic beverages are not permitted at a staffed UVA Catering event with the exception of wedding cakes.

Guarantees

  1. In order to adaquately prepare for your event, we ask that you provide us with a guaranteed number of guests three business days prior to the scheduled event. Billings are based on the guaranteed count plus any additions, or the guaranteed count if your number of guests decreases.
  2. For accurate scheduling, UVA Catering allows two hours as normal service time for meals or receptions. Occasions which extend beyond this time will be charged $20.00 per hour, per employee. When having both a reception and dinner, the service time is extended to three hours.
  3. In the event that you need to cancel a function, please notify us as soon as possible. Cancellations or changes made within three business days of the event are subject to cost incurred by UVA Catering.

Catering Contracts

  1. We ask that three business days prior to your event, the Catering Sales office receives a signed copy of your catering contract, in order to prevent cancellation of your function.
  2. All University of Virginia departments and organizations will need to supply the appropriate PTAO number prior to the event date.
  3. At the time of ordering, please provide us with the purpose of the event, as well as, who will be in attendance.
  4. In order to ensure payment, we ask that groups or individuals, who are paying with cash, check, or credit card, pay a 50% deposit of the estimated bill two weeks prior to the event. Payment of the balance is due the business day prior to the event, with the exception of items charged per consumption, which will be due at the conclusion. Please make all checks payable to ARAMARK. We accept VISA, MasterCard, and American Express.
  5. State tax-exempt organizations need to submit a copy of their tax-exempt certificate prior to the event. University organizations and departments using PTAO numbers are exempt from state and local sales and meals taxes. State sales and local meal taxes may apply to all non-exempt events.

Cost Information

  1. To provide the best possible service, a 15% service charge will be added to all prices on events that have service staff.
  2. Our Goodies and Drinks delivery services are provided with heavy-duty paper/plasticware. For a more formal event, you may choose to use china and glassware at an additional charge of $2.00 per person. For all other services, we will be happy to provide china, glassware, and silverware to add elegance to your event. The china fee for breakfast, lunch, dinner, and receptions is $5.00 per person. Please note, these fees are based on events for 200 guests or fewer. Additional charges may apply for larger events. All events requesting china, glassware, and silverware submitted to the catering office after July 1, 2006 will be charged the appropriate china fees.
  3. Complimentary linens are provided for all staffed, seated meals. You may also request bud vases with flowers for the minimal fee of $5 per vase.
  4. A $20.00 delivery charge is applied to all deliveries except those in Newcomb Hall starting and finishing between 7:30a.m. and 4:30 p.m., Monday through Friday. Deliveries to special locations will be quoted.
  5. When the set up of tables and chairs is needed, there is a charge of $2.50 per person, except for those events that take place within Newcomb Hall. Rooms with special set-ups may be subject to additional charges, which will be quoted at the time of booking.
  6. The minimum charge for plated meals, delivered or served, is $200.00. The minimum charge for buffet meals, delivered or served, is $300.00. For receptions, the minimum charge is $125.00.
  7. We will gladly have passed hors d'oeuvres service available for an additional charge of $20.00 per server, per hour, with a one hour minimum.
  8. We will gladly cut and serve your wedding cake for an additional charge of $.50 per guest.
