EVPECC Council Minutes for March 15th , 2007

Council Business

 

Members:

            The Council would like to extend a warm welcome to Seana Pernice. Seana will

            be the new representative on council for the UVA Police Department.

 

Old Business:

1.     New Hires:  Missy will type up procedures on how to handle new employees. Beth will email updated list of new employees to appropriate council members.

2.     Turnover Spreadsheet: After 4 years of service on council the council member needs to rotate off the council. We need a procedure in place to follow for the next Council Chair. Discussion is still on going for procedures for recruiting new council members. We’ll need new representatives by July, so they can start in September.

3.     Memo explaining Council Members duties/responsibilities. Missy will put up on website with a link to the memo.

New Business:

1.     The minutes for February’s meeting have been approved for the web.

2.     There will be a spring night walk on March 19th. Anyone with suggested areas to review can contact Mark Fletcher at mef@virginia.edu.

3.     April Speakers will be Paul Crumpler, Energy Program Manager, and Joni Louque, Employee Relations. Paul will speak about energy conservation and Joni will provide an overview of Employee Relations.

4.     Diddy Morris would like to know if anyone is interested in volunteering for the Christmas in April project.

5.     Brad Holland is looking for a volunteer to serve on the EOP focus group.

6.     Missy suggested a slight web redesign, so if you have any suggestions, please let her know.

7.     We need to draft a renewal process to follow the same format as the turnover procedure. Do I want to be renewed? Solicit to see if anybody else would like to be a council member.

 

Updates

Kathleen Jump, EVP/ECC ex officio:

·       The University will be seeking two rezonings in the near future:  (1) Fontaine Research Park for building up to 700,000 additional square feet with structured parking and (2) Northridge for a Long Term Acute Health Care Hospital (LTACH) of 50-60 acute care beds. The LTACH will help the Medical Center free up hospital beds.  We expect to use about 30 beds and make remaining beds available to Martha Jefferson and other hospitals.

·       The Board of Visitors has approved Leadership in Energy and Environmental Design (LEED) certification for all new buildings and major renovations.  This is a significant commitment on behalf of the University to achieve high environmental standards.

·       All new employees will automatically be signed up for the $80 monthly employee retirement contribution and $40 state match program.  New employees will have to opt out.

·       B1 lot will eventually be closed. Kathleen will get back with details of when this will happen and where people will be able to park.

 

Debbie Gausvik, Assistant Director, Faculty and Staff Employee Relations:

·       The Service Awards program will be May 22 at Cabell Hall for the 10-20 year employees. UHR still looking at venues for the evening program for employees with 30+ years of service. There are 2 employees with 50 years Service that will be recognized.

·       March 23 is the deadline for submitting Outstanding Contribution Award nominations for recognizing outstanding employees. Certain selected nominations are forwarded for consideration for Governor’s Awards.

·       The travel program is planning a trip to Austria in Nov.

·       A survey to employees related to restructuring will be up and coming. HR is still looking for a project manager.

·       HR - New Orientation. Departments still need to help with the orientation of new employees. The Benefits sign-up will be expanded into a 4 hour overview and introduction to the University as well as a benefits sign-up. A Parking and Transportation rep will be part of the orientation to allow employees to obtain parking materials.  Eventually, there will be a handbook for new employees with information organized behind “tabs”.

 

Our next meeting will be on April 19th, 2007 from 1:30pm.-3:30pm. We will be meeting at 400 Ray C. Hunt Dr. in conference room A.
