Welcome new members to Employee Council
Old Business:
- Approve Minutes for previous meeting
- Appoint Secretary – Johanna Kessler-Sandridge
- Discussion of meeting location change. We will leave location as is.
- Questions for Leonard Sandridge at next meeting were discussed by
Kathleen Jump.
- Ask your department for any questions they would like answered by Mr. Sandridge.
- There is a web form they can fill out if they would like to remain anonymous. Please advise constituents that their names will not appear with the questions, only representative’s name. http://www.virginia.edu/employeecouncils/pevp/#suggestions
- Questions need to be sent to Laura Sprung at sprung@virginia.edu.
- Questions need to be in to Laura by Tuesday, October 9th at 5:00, which includes web format.
Updates:
Kathleen Jump, EVP/ECC ex officio:
- Marge Sidebottom is the new Director of Emergency Preparedness. The committee is looking at additional security measures for the University.
- Commission on the Future of the University:
- There is a website with information, http://www.virginia.edu/planningdocuments/commission/
- Two town hall meetings have been called:
- October 11, 2007 at 1:30 in McKim Hall Auditorium
- October 12, 2007 at 12:00 in the Rotunda Dome Room
- CVC is to kick off on October 16th. We could have someone come talk at the next meeting about this program.
- Day of Caring took place on Wednesday, September 19th. The University had great representation throughout the community.
Darrell Kozuch, HR:
- Restructuring survey was successful. There are three town hall meetings being held to discuss results of the survey. Times and locations are as follows:
- Wednesday, September 26th 2:30-3:30 p.m. in Newcomb Hall Ballroom
- Thursday, September 27th 10:00-11:00 a.m. in Newcomb Hall Ballroom
- Thursday, September 27th 2:30-3:30 p.m. in the Facilities Lunchroom
- Mr. Kozuch is looking into sending out a copy of the survey questions before these meetings.
- Open enrollment for insurance will run from November 1st through November 30th. This is an opportunity to update your benefits as needed. This will have an effective date January 1, 2008.
- Performance Evaluations are due to HR by October 12th, check with your department manager for due dates within the office. There will be a salary increase of 4% for those who meet “contributor” or “extraordinary contributor” standards.
- HR Specialist/Timekeepers Meeting occurs once a month, usually in Newcomb Hall. Great time to bring up questions and concerns for HR. Specific topics are covered concerning policies, changes, etc. The agendas are published on the website, as well as the minutes.
- Questions posed to HR:
- Can we make the UVA ID discounts public to our constituents? Looking into this.
- There was an HR meeting about timecard changes, will they send out a follow-up email? Yes, an email will be sent out detailing the changes made to the timecards.
- Can employee’s allotted time be displayed on pay slip? This may be possible, will look into it.
New Business:
- Orientation – green handout was given to give a brief summary of responsibilities.
- Attendance – Make sure your area is represented at the meetings. Alternates can attend meetings regularly.
- A change in members needs to go to Laura to keep our mailing lists current.
- It is our responsibility to communicate with the constituents we are representing. Bring their concerns to the meetings.
- Template letter for new employees was distributed. This can be used to reach out to your new employees, and serve as a resource for them.
- Resource fair will be held November 15th, more about this during the next meeting.
- We have gone to four councils instead of five. Student Affairs is now being represented through our council.
- Employee Council Leadership Seminar is being held on Monday, October 15th from 12:00 until 4:30 in Newcomb Hall South Meeting Room. This is currently for primary representatives only, but will look at opening up to others in years to come. At this seminar there will be discussions on the roles of the councils and its members, effectiveness, etc.
- We discussed the direction of the council and the effectiveness of our mission statement. Members were asked to think of a one word description of their roles on this council, ideas are as follows:
- Community
- Two-way
- Communication
- Concern/Care
- Daily contact
- Focusing concerns
- Accessible
- Link
- Concerns were also expressed from the members. There is a lack of faith within the constituents we represent. We need to make them feel that the Employee Council is here to work for them. We need to follow through with their questions and concerns. Bring concerns to the meetings and Laura and Shannon will take to the Executive Employee Council meeting.
- There were discussions about having representation on faculty council and vice versa.
- Bi-laws will be updated on website shortly.
- The Diversity Council will be holding symposium on Race and Society. It will be held here on grounds from September 30th - October 2nd. Registration is free for University members and more information is available at www.virginia.edu/symrs.
The next meeting is scheduled for Thursday, October 18th at 2:30 pm in Conference Room A of 400 Ray C. Hunt Drive.
