Travel Reimbursement Guidelines for Speakers

One goal of the Faculty Senate Speakers Bureau is to support faculty in their efforts to contribute to intellectual public life. To this end, the Office of the Vice President and Provost has made funds available to reimburse faculty delivering Commonwealth, Alumni Association, and Scholastic Enrichment Lectures throughout the state. The Alumni Association has made funds available to reimburse faculty delivering Alumni Association Lectures throughout the nation. To support as many faculty as possible in light of limited funds, the Faculty Senate Committee on Research and Scholarship has established the following guidelines, in addition to existing state and University guidelines to reimburse travel for lectures within Virginia.

The Speakers Bureau offers reimbursement for Commonwealth, Alumni Association, and Scholastic Enrichment Lectures delivered in locations more than one-hour's drive from Charlottesville.

All speaking engagements in Virginia arranged through the Speakers Bureau are eligible for reimbursement. If you arrange to deliver a talk independently but wish it to be considered part of the Speakers Bureau (both to make you eligible to receive reimbursement and to include your contribution in the scope of the University's contribution to public life in Virginia), please notify the Faculty Senate office of your talk prior to the scheduled date and be sure you are registered as a speaker in the web database. Your talk will then be included in the Speakers Bureau's record of past talks and published on the web site.

If your lecture involves travel before 8 a.m. or after 8 p.m. and you wish to stay overnight before or following your speaking engagement, the Speakers Bureau will compensate you for one night's lodging.

If you have a situation that calls for an exception to these guidelines, please send a written explanation of your special circumstances to the Faculty Senate office prior to the engagement. All exceptions require the approval of the chair of the Committee on Research and Scholarship. Faculty traveling outside Virginia to deliver Alumni Association Lectures should contact the Alumni Association before making their travel arrangements.

To Receive Reimbursement
To receive reimbursement for allowable travel expenses incurred in accordance with University and Faculty Senate Speakers Bureau policies, complete a travel reimbursement form as you would for any work-related travel expenses. You may obtain the form from your department office or use the Travel Workbook available on-line through the University Travel website. Send the completed form to the Faculty Senate Office by email or print the form and send it by Messenger Mail to the Faculty Senate Office, The Rotunda. You will receive an email from the Faculty Senate Office confirming receipt of your form and payment will be made electronically to your payroll account if you have direct deposit. Otherwise, a check will be mailed to your home address.
