TITLE:  USE OF MOTOR POOL VEHICLES                 POLICY:  VII.Q.4x

Reservation Information

Users are advised to reserve vehicles as far in advance as possible
by calling 924-7712 during normal business hours.

See also Procedure 7-52 "Using Motor Pool Vehicles."


Authorized Users

Authorized Users must:

Either be faculty, staff, students, or part-time employees of the
University, or

Other persons authorized by the department head to charge the use
of University vehicles to departmental accounts.

Have a valid operator's permit.  Department heads will ensure their
vehicle operators have valid permits.

Furnish proper authorization to the Motor Pool dispatcher.  See
also Procedure 7-50, "Preparation of Motor Vehicle Requisition."


Responsibilities of the Vehicle Operators

Vehicle Operators must:

Use the vehicle only during the time requested or notify the
dispatcher of necessary changes.

Operate the vehicle in a safe and courteous manner.  Obey all
traffic laws.  Ensure only authorized users operate the vehicle. 
Wear seat belts.

Report to the dispatcher vehicle expenses or repairs expected to
exceed $100.

For major repairs, take the vehicle to the nearest applicable
dealer and call the motor pool dispatcher.


Be responsible for all traffic citations incurred while the vehicle
is assigned, regardless of who actually received the citation. The
University is not responsible for nor will it reimburse the
operator for citations, violations, fines or penalties.

Be responsible for damage resulting from misuse, abuse, or
negligence.

Note:  P&T will bill the department for the cost of repairs
resulting from negligence.

Note:  P&T will bill the vehicle operator's department for the
$1,000 deductible from the State's self-insurance plan, if it is
determined the UVA operator was negligent in the accident.

Use the vehicle only to conduct official University business; use
for personal business or pleasure is prohibited.

Report all vehicle defects to the motor pool dispatcher.

ALL ACCIDENTS INVOLVING STATE VEHICLES OR RENTAL VEHICLES USED FOR
UNIVERSITY BUSINESS MUST BE REPORTED TO BOTH THE STATE POLICE AND
NATIONWIDE INSURANCE IMMEDIATELY, AND TO RISK MANAGEMENT WITHIN 48
HOURS. AS FOUND IN EACH VEHICLE.


     Limit passengers only to those on official University or State
 business.  Hitchhikers are forbidden.

Responsibilities of P&T

P&T will:

     Provide a clean, sound vehicle for University business on a
 demand basis at the best rate possible.

     Provide credit cards to pay for services and repairs.

     Reimburse the operator for cash vehicle repairs or servicing. 
 Other expenses, including tolls and parking fees, will be
 reimbursed through Procedure 6-25.

     Provide adequate liability, comprehensive, and collision
 insurance for the motor pool vehicles and their operators.
