Graduation Weekend Housing 2016 Check-In Information


Graduation Weekend Housing guests will stay in the new dorms located in Alderman Road Residence area. These air-conditioned hall-style accommodations include shared common area and bathrooms (gender specific). Each guest will receive a linen packet containing one set of sheets, one pillow, one washcloth, and one towel. It should be noted that rooms are not equipped with hangers, iron or ironing board, hair dryers, or lamps (overhead lighting only). Guests are responsible for supplying their own personal items including shampoo, soap, etc. In order to provide the maximum availability for our guests, all guests in the same party will be housed together. For any guest with special needs, please contact our office by phone or e-mail.



Housing is $62.00 per person, per bed, per night with a two night minimum. Payment is due upon registration. Housing will be available as early as Thursday, May 19, 2016 after 2:00 p.m. and all guests must check out by 11:00 am on Monday, May 23, 2016.


Parking is available in the S6 lot next to the Student Activities Building and in the S9 parking lots at Hereford College.

All cancellations will be assessed a $50.00 per-person cancellation fee. Cancellations made before May 12, 2016 will be eligible for partial refund. Cancellations made after this date will NOT be eligible for any refund.

  • I need to add guests to my reservation. How can I do that?

    Fill out Section A of the Change and Cancellation Form, sign it, and send it to us.

  • Two members of my party want to come on Saturday, while everyone else is arriving on Friday night. Should I fill out separate reservation forms?

    No; please submit one reservation form listing all group members, then use the Change and Cancellation Form to change dates for members of the party arriving on a different day.

  • One person in my party is no longer coming, but I found someone else to take their spot. What do I need to do?

    Fill out Section A and Section C of the Change and Cancellation Form, sign it, and send it to us.


  • Who is allowed to pick up keys and access cards from the Conference Services office?

    The graduating student is the ONLY person permitted to pick up the room keys at check-in and must show a valid photo ID and credit card.

  • How will I receive the room keys and access cards?

    The student will receive a key and/or access card for each guest listed on the reservation form. The building name will not be found on the tag for security reasons, nor will such information be given out over the phone.

  • What time is check out? Where do I return my keys and access cards?

    Keys and access cards must be returned by 11:00 a.m. on your scheduled departure date. Information about where to return your keys will be provided with your keys at check-in.
