Graduation Weekend Housing

Conference Services is pleased to offer convenient on-Grounds housing for guests attending Final Exercises. Rooms are available for families and friends of graduating students from Friday, May 18, 2012 to Monday, May 21, 2012. All graduating students, including those in professional schools, are eligible for and may take advantage of this service.

Pricing


Conference Services is offering a two-night package for $120.00 per person, and a three-night package for $170.00 per person. You may check in as early as Friday, May 18, 2012 after 2:00 p.m. and check out as late as Monday, May 21, 2012 at 11:00 a.m.

The packages include:

  • Two or three nights' stay in dormitory rooms (depending on package chosen)
  • Linen packet with one set of sheets, one pillow, one washcloth and one towel
  • Free shuttle to and from nearby parking areas on Graduation morning
  • Free parking (first-come, first-serve)

Accommodations


Graduation Weekend Housing guests will stay in dormitory housing.

Please contact Conference Services by email or phone about guests with special needs, so that we can make appropriate arrangements. Also note that there is no smoking permitted in University residence halls at any time. Children 12 and under stay for free, but are not provided with linens or a bed. Parents must provide sleeping arrangements (i.e. a cot or sleeping bag) for their children. It should be noted that rooms are not equipped with hangers, iron or ironing board, hair dryers, or lamps (overhead lighting only). Guests are responsible for supplying their own personal items including shampoo, soap, etc.

Parking


Parking is available on a first come, first serve basis at Scott Stadium (football arena). Overflow parking will be available at University Hall (basketball arena). No parking permits are needed for non-reserved spaces. However, please observe all parking guidelines, including fire lanes, handicap spaces and spaces marked as reserved by Parking & Transportation.

Please note that all cancellations, including removal of individual guests from a reservation, must use the Change and Cancellation Form below in order to be honored. All cancellations will be assessed a $50.00 per-person cancellation fee. Cancellations made before May 11, 2012 will be eligible for partial refund. Cancellations made after this date will NOT be eligible for any refund.

  • I need to add guests to my reservation. How can I do that?

    Fill out Section A and Section C of the Change and Cancellation Form, sign it, and send it to us. There is no charge for adding a guest prior to 5:00 p.m. on April 18, 2012, but after this date you will be assessed an additional charge.

  • Two members of my party want to come on Saturday, while everyone else is arriving on Friday night. Should I fill out separate reservation forms?

    No. All members of your party must be registered together to be housed together, regardless of when they are arriving.

  • One person in my party is no longer coming, but I found someone else to take their spot. What do I need to do?

    Email Conference Services with your name, the name of the person who is no longer staying with us, and that person's replacement. There is no charge for a substitution, but please let us know as soon as possible so that our records remain accurate.

Check-in/Check-out


  • When and where do I check in and pick up my keys and access cards?

    Come to the Conference Services office, located on Bonnycastle Drive, between 2:00 p.m. and 10:00 p.m. on the day of your group's scheduled arrival.

  • Who is allowed to pick up keys and access cards from the Conference Services office?

    The graduating student is the ONLY person permitted to pick up the room keys at check-in and must show a valid photo ID and the credit card that was used to make the reservations. This policy is a security measure to ensure your safety, so please plan ahead and coordinate with your student, as we are unable to make any exceptions.

  • How will I receive the room keys and access cards?

    The student will receive a key and access card for each guest listed on the reservation form. The keys and access cards will be on plastic ring with the last name of the graduating student and the room number. The building name will not be found on the tag for security reasons, nor will such information be given out over the phone.

  • What time is check out? Where do I return my keys and access cards?

    Keys and access cards must be returned by 11:00 a.m. on the day of your scheduled departure. Keys and access cards are to be returned to the Conference Services office, located on Bonnycastle Drive. Our office opens at 8:00 a.m., and a drop-off box for key return is also available 24 hours a day.

  • Does the graduating student need to return all of the keys and access cards at once?

    Yes. The keys and access cards need to be returned in the same way they were received, i.e. placed in the large manila envelope and with the name tags still attached to them.
