About Conference Services

Conference Services is part of UVA Housing & Residence Life. We are in the HOOspitality business! Conference Services provides lodging for individuals attending various conferences, camps, and academic programs during the summer months at the University of Virginia. Each summer, we host over 100 conferences and serve approximately 15,000 guests. Our goal is to provide our clients with the best possible "Wahoo-WOW" customer service throughout the summer. This includes:

  • Ensuring clean and comfortable accommodations before arrival
  • Distributing and collecting linens
  • Preparing keys for guests arrival
  • Delivering a well-organized and welcoming check-in/out
  • Coordination of guests' on-Grounds needs while in residence
  • Ensuring excellent directions and signage
  • Delivering Lock Out services


Conference Services hires for several different categories of Summer Staffers. Applicants will be selected for a position based upon their experience and skill set. Employment will begin with training starting on Friday, May 13th, 2016 and end on Sunday, August 7th, 2016.

Conference Assistant - Team Leader

Must be a Returning Member to Conference Services.

The Conference Services - Team Leader (TL) is an entry level supervisory position that will report directly to the Conference Services Coordinator. The TL position will help promote and implement Conference Service's mission, vision, and goals on a day-to-day basis. They hold the responsibility of making each client feel welcome on Grounds at UVa through outstanding customer service. The TL will be responsible for assisting with the day-to-day functioning of the office and field including answering phones, responding to e-mails, printing rosters, placing linens, etc. The TL will assist in the supervision of the TMs while coordinating conference groups with regards to their check-ins and check-outs, key organization and distribution, inspections, and other duties as assigned.

Conference Assistant - Team Member

The Conference Assistant - Team Member (TM) is an entry level position for conference services and will work for Housing and Residence Life Conference Services. The TM will perform a wide variety tasks including helping to set up and run check-ins and check-outs, staffing program events, preparing room keys and dining cards, inspecting guest rooms, and answering phones and guest questions, linen distribution & collection and other tasks as assigned.

Conference Assistant - Night Clerk

The Conference Assistant - Night Clerk (NC) is an entry level position and will work for Housing and Residence Life Conference Services. The NC will perform a wide variety of tasks including running the front desk after hours, responding to after-hours requests, keeping StarRez up to date, conference prep, answering phones and guest questions, linen distribution & collection, and other tasks as assigned.

Hours Worked

Team Leaders, Team Members, and Night Clerks agree to live "in residence" and work on average 40 hours a week, including nights, weekends, and some holidays. This includes shifts in the Conference Service's Office which is open 24 hours a day 7 days a week. Resident Assistants work on average 20 hours per week including nights, weekends, and some holidays. Please read the position description for more information regarding hours.

Conference Assistants will rotate shifts on an as needed basis. As a general rule, shifts are as follows:

  • 8:00am - 5:00pm - TLs and TMs
  • 11:00am - 8:00pm - TLs and TMs
  • 3:00pm - 11:00pm - 2 TMs
  • 11:00pm - 8:00am - 2 NCs

Due to the time commitment with conference services, CS Summer Staffers with the exception of the Resident Assistant and Night Clerk may not commit to any other engagements that would interfere with their work during the summer conference season (Friday, May 13th, 2016 - Sunday, August 7th, 2016).

The successful staff member must be a UVa student who possesses strong critical thinking and problem solving skills, demonstrates initiative, communicates effectively, has a positive attitude, and has a keen attention to detail. Team Leaders must be a returning member to Conference Services. Candidates agree to attend all aspects of summer staff training including brief training sessions from mid-March to late April and in Early May.

All applicants must have a valid U.S. Driver's License.

  • Friday, March 5th, 2016 - Offers are made to accepted applicants
  • Friday, March 11th, 2016 - Conference Assistant Letters of Intent are due
  • Thursday, April 7th, 2016 - Conference Assistant Meet and Greet
  • Friday, May 13th 2016 - Conference Assistant Training begins
