Office Assistant (OA)


The Summer Conference Office Assistant (OA) works for the Conference Services Office, part of Housing & Residence Life. The OA ensures the smooth operation of the Conference Services office during the day and evening hours. The OA answers phones, takes and delivers detailed messages, sorts and delivers mail, stocks the office with necessary supplies, and submits and tracks all housekeeping and maintenance requests. Furthermore, they will work closely with Conference Services full-time staff members to ensure that preparations for upcoming programs are completed in a timely and accurate manner. Additionally, OAs will be responsible for handling after-hours phone calls and dispatching student on-call teams to respond to after-hours emergencies.

Hours Worked

An OA agrees to live "in residence" and work approximately 30 to 40 hours/week. Majority of hours worked will be between 7:00 a.m. and 10:00 p.m., seven days a week. Additionally, an OA agrees to work between 2 and 3 On-Call Dispatcher shifts a week between the hours of 10:00 p.m. and 8:00 a.m. during the Conference Season.

Outside commitments must be approved by the Director of Conference Services.

Compensation

  • Summer stipend (paid bi-weekly) – to be discussed further during interview
  • Single occupancy, air-conditioned room provided at no cost

Requirements

The successful staff member will possess strong critical thinking and problem solving skills, demonstrate initiative, communicate effectively, have a positive attitude, and have an ability to manage and delegate tasks. Strong administrative skills are utilized in this position and prior experience in an office setting is highly recommended.

  • The OA agrees to attend all aspects of summer staff training including several training sessions from mid-March to late April with a time commitment of no more than three hours per week.
  • The OA will work continuously from early May 2013 to early August 2013, including weekends. Part-time opportunities may be available in April 2013 as well.
  • The OA must have a valid U.S. Driver’s License.
  • Summer Office Assistants need not have worked for the Housing & Residence Life in any capacity prior to this summer position.
