Room Condition Reporting

Below you will find two lists. One contains written descriptions of what Housing considers to be acceptable regarding the condition of our living spaces and furnishings. The other contains a listing of furnishings provided in each bedroom by residential area. It is the responsibility of residents to report any damage to the room, items that are missing and/or items that are not in an acceptable condition upon occupying a living space. Discrepancies should be reported through the online Work Order System (be sure to check the "Room Condition Report" box). If the condition of your room is acceptable at occupancy there is no need to submit a work order.

Approved work orders submitted at the beginning of occupancy will serve as documentation of any problems. Any damages found by Housing when a resident vacates a living space will be cross-referenced with work orders submitted upon occupancy. A resident may be billed for damages depending on the result of this comparison. Discrepancies reported at occupancy may or may not be corrected at the discretion of the Housing Division. The completed work order will serve as documentation of this.

Residents living in upperclass suites and apartments are responsible for surveying common areas such as kitchens, living rooms and bathrooms. Only one resident per apartment/suite needs to submit a work order for discrepancies in these areas. Resident staff members are responsible for surveying the condition of the common areas in all other facilities prior to Opening.

Condition Descriptions


  • Walls/Ceilings/Floors: should be free of stains, holes and damage to paint.

  • Light fixtures: light should be operational; globes/covers should be free of defects.

  • Blinds/Shades: should operate freely and be free of stains, dirt, rips or other damage.

  • Doors/Locksets: surfaces should be free of stains and dirt; hinges should operate freely; doors should close without using force; locksets should be easily operated with key; key should not insert roughly into lockset or stick upon removal.

  • Wood Furniture: Free of stains, cracks, marred wood; all legs of chairs/tables should be firmly fixed and stable; laminate surfaces should be free of stains, scratches and cracks.

  • Upholstered Furniture: free of stains and tears

  • Appliances: clean and free of cooking stains; all elements function; oven and refrigerator racks are intact

  • Windows: glass panes are free of cracks/chips; surface is clean; screens are free of tears and holes; window opens freely as designed

  • * Note: Cauthen, Woody and Kellogg are air-conditioned double rooms with carpeted floor, and wardrobes instead of closets. Cauthen and Woody have captain's beds with drawers, and Kellogg has bunkable junior lofts and dressers.
