Student ID Card

A University of Virginia Student is eligible for a University Student ID Card if they are enrolled in a degree program or a summer session program. There is no fee charged for the initial ID card*. The privileges associated with the ID card depend upon the amount of tuition and comprehensive fees paid by the student.

Students in the School of Medicine and the School of Nursing who need access to medical facilities are provided a U.Va. Health System ID Badge by the U.Va. Health System Technical Services. Call 434-982-4009 or email for more information. (An Academic ID card isn't necessary if a Hospital ID badge is issued.)

All ID cards are the property of the University of Virginia and are provided for appropriate use for identification and access to services. The ID card is not transferable and is valid as long as the holder continues his/her specific affiliation with the University of Virginia. Any misuse, alteration or fabrication of the ID card will subject the holder to disciplinary action by the University.

Please remember to bring your valid government issued photo identification to obtain your University ID card. (Either your U.S. Driver’s License issued by DMV, U.S. Identification Card issued by DMV, U.S. Permanent Resident/U.S. Department of Homeland Security/U.S. Green Card, Passport book or U.S. Military ID Card. Note: Driver's License's stamped "void" and Passport "cards" are unable to be accepted per Homeland Security.) Information on obtaining the U.S. Driver's License or U.S. Photo Identification card from DMV. Important: The name on the government issued photo identification* must match the name in the University's system exactly.


Faculty and Staff ID Card

Full-Time and Part-Time Faculty and Staff receiving benefits at the University are entitled to receive a University Faculty/Staff ID Card. There is no fee charged for the initial ID card.* Faculty/Staff ID Card Application Form. (Also available in office.)

Faculty and Staff working on the Academic AND Hospital side will be issued ONLY a U.Va. Health System ID badge provided by the U.Va. Health System Technical Services. Call 434-982-4009 for more information.

Wage Employees (faculty wage, adjunct faculty, part-time classified without benefits, post-doc, and wage); and Visiting Faculty and Staff (research assistants, visiting research assistants, visiting scholars and ROTC) may receive a University ID card with departmental or Human Resources written authorization for an ID card. An expiration date is required and will be printed on the ID card. There will be a $10 fee charged for a regular the ID card. There will be an additional $5 fee if a Smart Card is required. The same process is required to renew an ID card. *ID Proofing can be done without the issuance of an ID card. It may be done without a letter or ID application

Contracted employees working at the University may receive a University Contractor ID Card with the sponsoring departmental's written authorization for an ID card. An expiration date is required and will be printed on the ID card. There is a $15 fee charged for contracted employee ID cards. Sample letter. Contracted Employee ID Card Application Form. Retired employees are eligible for a University Retired ID Card upon verification in the University’s HR system. If there is an existing ID card, it should be turned in to the employee's department at the time of their exit interview. Their department should cut the card in half and mail it to the address on the back of the card. A retired ID card will be issued when the employee visits the ID Card Office. ID cards issued to employees and individuals affiliated with the University of Virginia must be returned to the appropriate department upon separation.

Call the University ID Card Office ahead of time to be sure all the information necessary to obtain an ID card is received. It can take approximately 24 - 48 hours.

Appointments for groups of more than two people are encouraged.


Participants in Special Programs

A Participant in a Special Program eligible for a University ID card must be sponsored by a University department. The sponsoring department will provide the ID Card Office with a list of the participant(s) as well as written authorization and justification as to the need for an ID card. If eligible, the participant may receive a special University ID card. An expiration date is required and will be printed on the ID card. There will be a $10 fee charged for the ID card.

ID cards issued to persons participating in special programs sponsored by the University must be returned to the sponsoring department upon completion of the program. The department should cut the card in half and mail it to the address on the back of the card.


U.Va. Health System Employees

Health System Employees who are required to wear a U.Va. Health System ID Badge will need to obtain one from the U.Va. Health System Technical Services. They are located in Room M1205 in the front corridor of the Multistory of the West Complex (old Hospital). Call 434-982-4009 or email for more information.
