Using the Menu and Toolbar

In this section you will learn what functions are available to you through the menu and the toolbar, and the uses of these functions in the Integrated System.

Every function that you perform in the Integrated System is accessible through the menu which consists of the following choices: File, Edit, View, Folder, Tools, Window, and Help. Each of these menu choices has a drop-down list with choices. Not all choices on the menu will be available on every form, and some menu items (i.e., Tools) have different choices on the drop-down menu list, related specifically to the form within which you are working.

Steps:

  1. When you click on the menu item, the menu appears below.   Step 1
  2. See what functions are available from the File menu. Next, see the Edit menu.

  6. The Tools menu has different choices on the drop-down menu list, related specifically to the form within which you are working. Next, click the Window menu.

  8. The Help menu appears. Again, it is important NOT to access online help from this menu, as this help is not customized to the system as we use it at UVa. Instead for online documentation and help, access the How Do I....? section of the Integrated System website.   Step 8
  9. There is a Toolbar with icons right below the Menu. These icons provide shortcuts for some of the most commonly used features on the menu.   Step 9
  10. You can click on this icon to add a new record.    Step 10
  11. Click on this icon to open the Find form when using the find mode to perform a search. (This topic is covered later.)   Step 11
  12. Click on this icon to show the Navigator form.   Step 12
  13. Click on this icon to save your work. Whenever you enter data you are automatically prompted to save your work upon exiting the form.   Step 13
  14. Click on this icon to switch from one responsibility to another without exiting the system. This function is only available if you go to the Navigator form.   Step 14
  15. Click on this icon to print the screen. It is not recommended that you routinely print screens, but sometimes it may be necessary.

    In many cases, there are reports you can run that include the information from the transaction, so it usually is not necessary to print screens. (This topic is covered later.)   Step 15
  16. Click on this icon to close the form. You can also close the form by clicking on the X in the upper right corner of the form.   Step 16
  17. The next three icons are Cut, Copy, and Paste.   Step 17
  18. Click on this icon to clear a record. Clearing a record does not delete the information from the system; it merely clears the fields on the form.   Step 18
  19. Click on this icon to delete a record. This function is not always available. Very often, once you have created a record in the Integrated System, it cannot be deleted. Unlike clearing a record, deleting a record removes the information from the system.   Step 19
  20. Click on this icon to edit a field, if you are working in a field and need to or would like to see the entire field.   Step 20
  21. Click on this icon to add an attachment. (This topic is covered later.)    Step 21
  22. Click on this icon to work with Folder tools. (This topic will be covered later.)   Step 22
  23. Clicking on this icon will open a separate application for Oracle Help. Please do not use this help feature, as it is not customized to our use of the system at the University of Virginia.   Step 23
