Working with Folder Tools

Folder Tools enable you to customize forms to meet your individual needs. You can move fields, shorten or lengthen the width of fields, and hide or show fields.

Steps:

  1. Click the Open Folder... button.   Step 1
  2. A list of values with any folders that were saved for public use will appear. You can use any of these folder definitions. At times, there are folders that have been created by either a central office or ISDS (Integrated System Deployment and Support) staff that you may be required to use or may be recommended. Such folders will be identified in the module-specific training.

Click the PAYMENT VOUCHER list item.   Step 2
  3. Click the OK button.   Step 3
  4. When you open a different folder definition, the columns may be in a different order, widths of columns may be wider or smaller, and/or columns may be hidden or shown.

The name of the folder you opened will appear next to the Open Folder icon.   Step 4
  5. Click the Folder menu.   Step 5
  6. The Folder menu displays all of the options you have to customize the form. Some of the most commonly used tools allow you to show or hide fields, move fields to the left or right, and widen or shrink fields.

To move a field or change a field (widen or shrink) you simply place your cursor in the field that you want to move or change and click on the desired option from the Folder menu.   Step 6
  7. If you click on the Show Field or Hide Field menu options you will see a list of values with the names of all of the fields (column headings).   Step 7
  8. You may want to save a folder definition that you opened as your own folder definition.

If you want to save a folder definition with a new name select Save As... from the Folder menu after opening the Folder definition you want to save.

Click the Save As... menu.   Step 8
  9. You can select Autoquery criteria and whether or not you want a saved folder definition to open as the default, and if you want a folder definition you saved to be public. For more information on Autoquery, click on the icon below.

The Open as Default option will only apply to the last folder definition you specified to open as default.

Click the OK button.   Step 9
  10. This message will appear asking you to save as a private folder. You can do this, but you can not change a public folder and save the changes.   Step 10
