Using the Query Mode to Search for Data

In this section you will learn how to search for data in the Integrated System by performing a query.

Steps:

  1. Like using the Find mode, when you are performing a query to look for data, you go to the function where the data is entered (i.e., if you were looking for a payment voucher, you would click on Payment Voucher.) In this case, since we are looking for a vendor, we go to the Vendor Adds function.

    Double-click the Vendor Adds list item.   Step 1
  2. Click the View menu.   Step 2
  3. Point to Query By Example.

  4. When performing a query, you use the actual form to enter your search parameters, unlike using the Find Mode, which opens up a separate form. However, like using the Find Mode, you can enter as many search parameters as you like, and the more parameters you enter, the more restrictive your search will be.

    Enter the desired information into the Supplier Name field. Enter "ABCD SUPPLY%".   Step 4
  5. After you enter your search parameters, you return to the View menu to run the query.

  6. You run the query by selecting Query By Example... Run from the View menu. However, if you want to see how many records will be retrieved based on the search parameters you entered for the query, you can select Count Matching Records before running the query. You will get a message at the bottom of the form indicating how many records will be retrieved.   Step 6
  7. Point to Query By Example again.

  8. The first record that matched your query will appear. In this example, only one record matched the query, as indicated in the message.

    If your query returns more than one record it will be indicated in the message (i.e., Record: 1/5.) You could then see the other records by using the down arrow on your keyboard to go from one to the next.   Step 8
  9. Click the Sites button.   Step 9
  10. Close the form.

    Click the X button.   Step 10
