Enterprise Application System Access Glossary

This glossary defines terms and acronyms relevant to gaining access to ITS Enterprise Application systems, including the HR/Finance Integrated System, the Student Information System (SIS), and the Document Imaging System (ImageNow).

Collab (UVaCollab)

UVaCollab is the University of Virginia's centrally supported online course management, collaboration and learning (CLE) system.

D

Data Access Approver

A designated person, assigned per Home Organization Code,who approves requests for access to system responsibilities.

Data Steward

A designated person, assigned per data module and, where appropriate, per school, who approves requests for access to system responsibilities.

Discoverer/ODS (Operational Data Store)

Tool for accessing pre-defined reports or for creating reports and exportable spreadsheets with HR/Finance data.

Discoverer/SIS Reporting Tool for accessing pre-defined reports or for creating reports and exportable spreadsheets with Student Information System (SIS) data.
Document Imaging System (ImageNow) An electronic document storage system for UVa organizations. Also links documents to data in HR/Finance Integrated System and Student Information System (SIS). See Document Imaging System toolkit for details.

Employee Self-Service

Application in the HR/Finance Integrated System used by employees to enter time and leave, view and change banking information, view payslips and W-2s, and other information. Employee Self-Service is also used by employees to enroll in training, complete online training, and view learning history.

Enterprise Application Systems
ESHARP Electronic Self-Help Access Request Process software used to request and approve access to Enterprise Application data systems. See ESHARP website.

Home Organization Code The 5-digit number associated with each school, department, or other unit in the University.
HR/Finance Integrated System The combined human resources and financial administrative applications.  For a list of system modules in HR/Finance, see the HR/Finance Integrated System toolkits.
I  
UVa Identity Token A secure USB authentication device that plus into your computer. Works in conjunction with Joint VPN software to securely connect the systems.  Formerly known as an i-Key.  For details, see UVa Identity token
ImageNow Document imaging software, used primarily to reduce the paper flow within an office environment. Former name of the Document Imaging System.
Integrated System (HR/Finance) The combined human resources and financial administrative applications. For a list of system modules in HR/Finance, see the HR/Finance system toolkits.
J
Java/JRE Java Runtime Environment.   Software that “plugs into” a browser that allows the browser to run the HR/Finance Integrated System and the Student Information System (SIS).
JointVPN Service A service within Virtual Private Network software that works in conjunction with the UVa Identity Token to securely connect to the systems.   Required for access to most Enterprise Application system responsibilities.  For details, see VPN software
L  
Learning Path A group of required or recommended training courses (instructor-led and/or online) that correspond to a responsibility with the same name.  Users subscribe to, enroll in, and complete a learning path using Employee Self-Service.
LSP Local Support Partner, departmental IT professional.  See departmental LSP list
M  
Module Divisions of data within the systems.  Users are given access to specific modules so they are only exposed to data relevant to their jobs. For a complete list of system modules, see the HR/Finance and SIS toolkits.
O  
OLM Oracle Learning Management is the module that manages training enrollment, online delivery, assessment, and an employee’s learning history.  Employees access OLM within Employee Self-Service.
R
Responsibility A defined set of data and allowable actions aligned with specific job duties and responsibilities.  Users are assigned (by request and approval) responsibilities within the system to limit which data they can see and/or update.

Student Information System (SIS) The application that manages all aspects of student data.  For a list of system modules in SIS, see the Student Information System (SIS) toolkits

Toolkits Web pages that list the job responsibilities and corresponding system responsibilities and learning paths per module.  Also has links for resources for employees with these responsibilities.  See HR/Finance Integrated System toolkits, Student Information System (SIS) toolkits, or the Document Imaging toolkits
