The Comptroller is responsible for ensuring that this document is necessary, reflects actual practice, and supports University policy.

Definition

PTAEO is the University's new charging instruction with IS. It stands for Project, Staff, Award, Expenditure Type, and Organization.

PTAEO

Project	A project is an activity or event with a single purpose executed over a specified period of time (such as a conference, a research project, a course, etc.) with specific funding sources (designated by the award(s) in GA) and a predetermined budget. A project may cross fiscal years. A project is not an organization or an employee.
Task	A further breakdown of project.
Award	Source of Funds
Expenditure Type	Purchasable items are organized into Expenditure Categories and the categories are further broken down into Expenditure Types.
Organization	Each unit of UVA is designated by a 5-digit numeric value.

Format

Project (P): always 6 numeric values (example: 100001)
Task (T): 3 numeric values (example: 111). Additional information will be provided on what do in each instance. Exception: the Health Sciences Center is using 5 numeric values to designate tasks (example: 267.5.)
Award (A): always 7 alphanumeric values; either the first or the first 2 values will be letters, the remainder will always be numbers (examples: GN45762, SG79840)
E represents Expenditure Type. For external vendors the user selects the expenditure type for the purchase from a table accessible from the distribution field for Expenditure Type. For internal purchases each isp (internal service provider) will provide the correct value in the cost transfer once services have been determined and delivered. The E will be up to 30 character alpha value and the correct E values will be provided to each isp for their use for both billing and receiving funds.
Organization (O): always 5 numeric values (example: 10100)

Additional Information

PTAEO combinations are quite long, so to avoid confusion the University will provide bar codes for the many combinations that will be in use for Internal Service Providers at the University.
