Dear Graduate Students:
The University of Virginia requires that all graduate students going abroad in association with the University (e.g., to attend or participate in a conference or to engage in research or studying while enrolled in UVA, even as a non-resident student) provide the International Studies Office with information that may be used to assist the students while abroad, should the need arise. This information is required before travel, however if you are a graduate student already abroad, please submit this information now.
It is important that everyone understand the underlying reason for the University's decision to maintain information on graduate students abroad. The sole intention of this process is to have the University prepared to support students and departments should a natural disaster, terrorist activity, or other event occur in a country where we have graduate students. If the International Studies Office has the type of information we have required, resources such as the US Embassy and local contacts can be utilized to offer help to students, if needed. Further, if we have contact information for student's in-country, the ISO can send updates from the State Department, CDC, etc. The sole interest of the University is to be prepared to assist graduate students abroad. No federal mandates are involved, either through the Department of Homeland Security, the Patriot Act, or otherwise. Please be assured that any information made available to the ISO through this process will be held in strict confidence and will be used only if necessary.
Travel to a Country with a U.S. State Department Travel Advisory Policy
Students planning travel to a country where the State Department has a Travel Warning are asked to verify that travel to that country is essential to their research, and will be required to provide a statement by the faculty advisor supporting this travel. If this documentation is furnished, graduate students will be required to sign a document that states they have been advised of the Travel Warning and they still choose to travel to this location. Having followed this procedure, they can then utilize UVA funding and receive both direct and transfer credits. Note documents below.
Information regarding U.S. State Department Consular Information Sheets for each country, as well as current Travel Warnings, may be found at: http://travel.state.gov/travel/warnings.html
Students are advised to carefully review the State Department website before travel abroad.
Medical Evacuation and Repatriation Insurance
ALL graduate students abroad MUST have medical evacuation and repatriation coverage in place before departure. If you have the University's Chickering plan, then you are covered for this requirement. Otherwise, you must purchase the ISIC Card, which may be found at the link below. Note under "Travel' for the insurance coverage levels. This card will also get you discounts on airfare, train passes, to name just a few. The card may be puchased at STA Travel on grounds, or at Peace Frogs in the Barracks Road shopping Center. Cost of the card is approximately $25.00.
