. Summer 2005 International Studies Office Refund Policy

It is a requirement of the University of Virginia that all study abroad programs, regardless of the departments or schools in which they are administered, must have a refund policy in place and available to students and parents prior to program promotion. The refund policy should explicitly state what will occur if the program is cancelled either due to a lack of enrollment, or due to safety and security concerns. Program directors may consult the ISO for assistance and/or review the policy for ISO-administered programs for a refund policy template.

Refund Policy for the Following Programs for 2005

  • Lyon, France
  • Rabat, Morocco
  • The China Gateway Program in Shanghai , China
  • The Environmental Science Program in South Africa
  • UVa in Australia
  • UVa in the Bahamas
  • UVa Women's Studies Programs in Korea
  • UVa Art and Photography in Italy

Fee Categories

There are two different categories of fees for summer study abroad programs

Annual Board of Visitor's approved tuition and required fees.

For Summer 2005 these approved fees are:

  • 3-7 hours: $2,000
  • 8-15 hours: $ 3,500

Required Fees: $4 technology fee/per credit hour

b) Program fees (which may include housing, room and board, classrooms, instructors, etc.).

Information on specific program cost is available from the individual program brochure or from the International Studies Office.

Refund Categories:

Student Withdrawal:

Deposit: The $300 deposit is non-refundable.

Program Fees

With notification of withdrawal prior to April 15 (or March 11 for Australia , Costa Rica and Bahamas programs), all program fees, with the exception of the non-refundable deposit, will be refunded.

Upon notification of withdrawal after April 15 (or March 11 for Australia, Costa Rica and Bahamas programs), programs fees and applicable late fees will be refunded, less the following: a $500 processing fee, any payments to third parties incurred on the student's behalf and the $300 non-refundable deposit.

Tuition and Required Fees Only

If the student provides notification of withdrawal after the scheduled departure date and before the last day of the first one-third (1/3) of the program, two-thirds (2/3) of the program fees will be refunded. If the student provides notification of withdrawal after one-third (1/3) and before the last day of the time two-thirds (2/3) of the program is completed, one-third (1/3) of the program fees will be refunded. After two-thirds (2/3) of the program is completed, no refunds will be given.

Airline Tickets

The ISO will not purchase airfare for students, however students will be advised what flight they should purchase tickets for. Students should note that airline tickets may be all or partially non-refundable, depending on the terms under which the tickets were issued. Students are strongly advised to secure travel insurance , and should be aware that travel insurance does not cover all areas of possible program cancellation. The University assumes no responsibility for attempting to secure refunds for student airline tickets.

Program Cancellation:

UVA may cancel a program for insufficient enrollment. If this occurs, deposits and any fees paid will be refunded and alternative program(s) will be recommended. The decision to cancel a program due to insufficient enrollment will be made by April 15 (or March 11 for Australia , Costa Rica and Bahamas programs) for summer 2005 programs.

Prior to departure, programs may also be canceled for reasons other than insufficient enrollment as stated in the UVA Cancellation Policy for Study Abroad Programs. If UVA cancels a program for reasons other than insufficient enrollment, all fees will be refunded.

Tuition and Program Fees :

As stated above, prior to departure date, if UVa cancels a program all fees will be refunded. However, if the program is cancelled after the departure date but before the last day of the first one-third (1/3) of the program, two-thirds (2/3) of the tuition and program fees will be refunded. If the program is cancelled after one-third (1/3) of the program is complete but before the time two-thirds (2/3) of the program is completed, one third (1/3) of the tuition and program fees will be refunded. After two-thirds (2/3) of the program is completed, no refunds will be given.

If it is necessary to cancel a program while students are in the host country, every effort will be made to allow students to complete the course in an alternate setting. If this were to occur, programs would be considered on an individual basis depending on the specific circumstances involved.
