Accounting Flex Field is a user-definable field in an Oracle Application that is made up of segments. Each segment has a name you assign and a set of valid values.

A mechanism that checks a database for a specific exception condition. For example, at U.Va. an alert is being written to send a message to key project members when a Project, Task, Award is setup and budgeted.

Award Status Inquiry is a feature that enables users to quickly review actual and commitment transactions, invoices, and budget and expenditure data at the award, project, resource, or task level in the Oracle Grants Management module.

Electronic Data Interchange, the transfer of data between different companies using networks, such as the Internet. For example, a company may print and mail statements for doctors' offices and hospitals after insurance claims have been transmitted to the billing company via EDI.

Oracle General Ledger is an Oracle financial application.  At U.Va., The general ledger will represent the book of record for all financial transactions such as revenues, expenses, and balance sheet items. It will also be the application that receives and records all revenue.

Oracle Grants Management is an Oracle financial application.  At U.Va., OGM will be used to record all expenditures.  OGM offers a powerful project accounting environment useful in all areas of the University.

Portable Document Format is a file format developed by Adobe Systems. PDF files are snapshots of formatted document files and may contain formatted text, graphics, color, and images that are viewable, navigable, and printable on multiple platforms. Project Status Inquiry is an online form within Oracle Grants Management with specific functionality.  The user can request information regarding expenditures and budgets including project-to-date and year-to-date totals.  PSI allows review of the current status of projects and drill down capabilities are available for more detailed review of a project and its tasks.

PTAEO

Project, Task, Award, Expenditure type, Organization are the charging instructions for expenses in the University's Project Centric environment.  All Labor Distribution and Procurement transactions will contain at least one PTAEO to record the transaction. Internal Service Providers (ISP's) will also bill customer PTAEO's and credit their own PTAEO's.

U.Va. Computing ID

A unique ID assigned to each student, staff member and faculty member. The ID takes the form of the person's initials, followed by a number and one or two letters (e.g., mst3k).

Workflow

An Oracle function used to automate business processes by routing information of any type to any individual according to business rules defined by the University.  For example, a workflow may be built to notify a supervisor when a GL batch has been created and requires approval.  The supervisor would receive an interactive notification screen from which the batch would be approved or rejected.
