Alternates


  • Q: How do I know if I am an alternate reconciler or the person of record?
    A: The descriptive information in the header lists the designated reconcilers. This information is also available on the Role Assignment report found on the Reports tab.

  • Q: If I am a Principal Investigator (PI) can I assign an alternate approver for my reports?
    A: There must be an electronic signature in the system and you may delegate that responsibility to an alternate approver. However, PIs that assign an alternate in the Recon@UVa system must still sign a paper copy of the budget report as indicated in the procedure Monthly Review and Certification of Sponsored Program Project or Award Expenditures.

  • Q: How many alternates can be assigned to one project?
    A: The number of alternates is not limited.

  • Q: I want to assign a role that is not displayed in the "Available to Assign" list.
    A: This can happen for a variety of reasons listed below:
    • A reconciler cannot be assigned as an alternate Preparer if they hold the primary or alternate Approver role, and vice versa.
    • An alternate cannot be assigned to Examiner if there is no primary role holder (Examiner is an optional role).

  • Q: Why isn’t the project I assigned to an alternate displayed in the "Assigned" list?
    A: This can happen for a variety of reasons listed below:
    • Select the All filter to view all primary or alternate roles assigned to you.
    • If a project has additional roles available to assign, it will remain in the "Available to Assign" list.
    • If you do not hold the assigned role, the project will not appear in the list. This can happen when you assign a role “below” the role you hold, i.e., you are the Approver assigning an alternate Preparer or Examiner. It will appear in the lists of the primary or alternate role holders.
    • An alternate cannot be assigned to Examiner if there is no primary role holder (Examiner is an optional role).
    • A reconciler cannot be assigned as an alternate Preparer if they hold the primary or alternate Approver role, and vice versa.
