Navigating Expenditure Detail
In this view you will see the Expenditure Type(s). The Action icons available in this view include: Enter Comment and Flag Outstanding Item. You can sort any column by clicking on the column heading. You can filter any column using the filter icon.
The Action icons available in this view include: Enter Comment and Enter Reconciling Item. All columns can be sorted by clicking on the column heading. Columns can be filtered when the filter icon is available.
Using this Page to Reconcile Projects
There are two ways to view expenditure details:
1) Expenditure Detail By Budget Category View
This is the tab your detail page will open to (see Budget Details). To expend the category and see the individual expenditures, click the triangle to the left of the category name. If you click the triangle in the blue header bar it will expand all the budget categories.
Once the budget category is expanded, you can view by Expenditure Detail or Planned Expenses by clicking on the appropriate tab. Both options are sorted by Task.
2) Expenditure Detail by Task View
In this view you will see the Expenditure Type(s) listed out by Task. This tab is available to the right of the "By Budget Category" tab. In this view you will see the Expenditure Types listed by Task. The information can be sorted and filtered as described above.
Documenting Transaction Review
By Checking the Box next to each expenditure you are indicating that the transaction has been reviewed. This can be done even if the transaction requires follow-up action.
If you check the box in the header row, checks will be placed in each row of the category.
Flagging a Transaction as an Issue
Issues are items that require follow-up action. If you have a transaction that needs documentation or is incorrect then you should flag the item as an issue.
Note: You can complete the reconciliation and send forward after flagging an issue and follow-up later.
To flag an issue, click the Flag icon. Enter a description in the comment field of the Issue window and save the issue. We recommend that you enter your user id and date entered for ease of review.
After you save the issue the Flag icon is replaced by the Issue icon. You can review any saved issues by clicking the Issue icon. The issue is also displayed in list form on the Issues tab, which allows a quick view of items requiring follow-up.
Sometimes expenditures do not require action or follow-up, but you might want to make a note. Think of Comments as notes written in the margin of a report or sticky notes.
Open the Comments window by clicking the Pencil icon. Enter your comments and save. We recommend that you enter your user id and date entered for ease of review. Take care not to overwrite another user's comments. Click the "Save Comment" button.
When a comment has been saved for an item the icon changes to a Notepad icon. You can review or edit saved Comments by clicking the Notepad icon.
