Storage of Public Records

Currently the University does not provide consolidated storage of public records. Each office is responsible for the storage of their records in accordance with the Public Records Act, the University Records Management Policy, and UVa Institutional Physical Records Storage Standards to properly protect and preserve records. Additional information on storage best practices can be found on the FAQ's Storage Page.

UPDATE 1/18/2013: The University is currently finalizing negotiations with multiple records storage vendors which meet the requirement for off-site storage of University records. As soon as these negotiations are finalized, information will be posted to this website and training will be offered for transferring your records from their current location to vendor supplied storage.

The University Records Management Office can assist offices in making decisions about proper storage and solutions for their records. Please contact the office at records@virginia.edu or call 434-243-9162 to request a storage consultation.

Records Storage Boxes Available!!

The UVa Records Management Office has a supply of Paige "Miracle Boxes" records storage boxes available. They measure 15" x 12" x 10" and hold roughly 1/2 of a vertical file cabinet drawer (roughly one cubic foot of records).

These are high quality boxes - intended to be reused and should last through several retention cycles. They have double-wall construction on all four sides and the bottom, with a three-inch tight fitting removable lid. They will hold both letter and legal size paper.
