Listed below are the classes being offered Fall 2014.  We are pleased to offer new training opportunites:

Email Management (2 hours)

Not sure what to keep and what to trash?  Not sure how to use your email client (Outlook) or want to learn some tips and tricks to better manage the flood of email??  Come to this training to learn about email as a public record, email deletion, appropriate content for email distribution, handling attachments, and avoiding email clutter.   (Recommended for all faculty and staff)

 

Records Management for Finance/Fiscal Admin (2 hours)

Do you work in fiscal administration or with University financial records???   Not sure what you need to keep and what to destroy??  The Records Management Office can help with this focused training session.  Learn or review the basics of the Virginia Public Records Law and the policies on records management at the University of Virginia. This session includes review of specific retentions for fiscal and financial records, procedures for reducing printing and use of electronic records, and how to manage your storage space.  (Recommended for all fiscal administrators, techs, and financial services personnel)

 

Paperless Office??  Digital Imaging Guidelines and “ImageNow / Perceptive Capture” Use (2 hours)

Would you like to work in a paperless office??  Come to this class to learn about your responsibilities in reformatting paper records to electronic images and managing them in compliance with federal, state and UVa rules and regulations.  Also discuss the use of “ImageNow / Perceptive Capture” for HR and Student Information, or other document management systems used across grounds.  Included is a review of the state requirements for electronic information, UVA policies, scanning of paper records, and long term storage of electronic information.

Do you work with sponsored programs???  Do you manage student records in your department??  Not sure what you records to keep and when to destroy??  The Records Management Office can help with this focused training session about the management of academic and research related records.  Learn or review the basics of the Virginia Public Records Law and the policies on records management at the University of Virginia. This session includes review of specific retentions for research records (including data sets, data collection instruments, proposals and financial records), and academic records; as well as procedures for print reduction and use of electronic records, and how to manage your storage space.  (Recommended for all research administrators, lab managers and financial services personnel and student services personnel; Clinical Trial Coordinators please attend training through the Clinical Trials Office)

 

Electronic Records Management – Shared Drive Clean-up and Management (2 hours)

Do you keep information in electronic format – managing it in a shared drive.  Does your shared drive have really old information stored or files you never go into?  This class will provide you with a road map for cleaning up the hard drive, shared drive, and a review of what you should store electronically and where.  This class will review the data classifications around sensitivity and the policies for the storage of highly and moderately sensitive information.

URMA Training (Combination Class)

Part 1: Records Management Review (45 min)

Before you can start using the University Records Management Application (URMA) this review session will cover the basics of records management at UVa.  In 45 minutes you will review the retention schedules, disposition, and storage of records.

 

Part 2: URMA Basics (1.5 hours)

This session will introduce the University Records Management Application (URMA). It will cover basic concepts such as account creation, standard records creation and updating, transfer of records to your storage location or to a storage vendor, and label creation.

 

Part 3: URMA For Research (45 min)

This session will cover the use of URMA for research related records, especially clinical trial data.  It will include the options for tracking research records including financial, administrative and research data.  If you do not work with research records, you do not have to stay for this session.

URMA Hands-On Sessions:  (Open to all individuals who have completed the URMA training in the classroom – listed above.)

 

These sessions are open for small group or individual hands-on training for using URMA.  Work sessions are 30 minutes individual or small group sessions with Records Management staff.  If you have records to enter, you may bring the information with you and enter and print labels for boxes.

You may stay longer than your 30 minutes if space is available, to continue to practice or enter information on your own.  Please select a 30 minutes session time below to register; registration is required due to individual assistance. (limit - three reservations per 30 min session).
