Overview

URMA is designed to help manage and organize both physical and electronic records held at the University of Virginia. A new version of URMA is currently being developed. To prepare to use this new application, please follow these steps:

First Step - Identify Records Administrators and Coordinators

The first step in using URMA is to identify the Records Administrators and Coordinators for your department. There can be more than one person assigned to each of these roles.

Records Administrator: This person has the responsibility of authorizing the “Certificate of Records Destruction (RM-3)” as your department representative. This person should have a high level of responsibility within your department (e.g. Dean, Director, Chair, Sr. Administrator, etc). Although holding this administrative level is not a requirement, it is a strong suggestion. The individual in this role will have the authority to remove records from the department - either by destruction or transfer to another entity.

Records Coordinator: This is the person who knows where records are kept, works with departmental records frequently, and is the contact for questions related to your departmental records.

Second Step - Organize your records, apply retentions, create inventories, and determine appropriate storage based on the University Records Management Policy and University Institutional Records Storage Standards.

Utilizing commercial storage vendors requires the use of URMA.

Third Step - Enter Information in "URMA - Powered by Infolinx" (Available Aug. 2013)
