DBR - Biographic Registration Data

1.       ID NUMBER: The 9-digit student I.D. number.

2.       TERM: Enter the current term in the form of YYS, where YY = last two digits of current year and S = 1 for spring, 2 for summer or 3 for fall  (003 = Fall 2006).

3.       OFFICE: Enter the office code (CENV = Continuing Education, Northern Virginia).

4.       Press F12 to select the student

If the student was previously enrolled at the University, their biographic information will appear. If not, enter the missing information and then press F6 to update the record.

5.       NAME: Entered as Last Name <tab key>    : First, Other names <tab key>  : Suffix. Used only when the I.D. number is not known.

6.       OCCUPATION CD: Enter the 1 character code for the occupation of this student.  Valid values are found in Table 138.

7.       ORGANIZATION/COMPANY/SCHOOL: Enter the requested information as furnished by the student.  This unedited field is 30 characters in length.

8.       PERM1: Enter the first line of the permanent address. ISIS allows the copying of one address to the other by entering *XXXX on the first line of any address where XXXX=the address you wish to copy. Example: type *PRES if you would like the present address to appear as the permanent address as well. Next of kin addresses 1 and 2 may be copied using *NOK1 or *NOK2 in this field.

9.       PERM2: Permanent address line two, up to 30 characters. (see attached guide for details).

10.       PERM3: Permanent address line three, if applicable, up to 30 characters. Usually needed only for international addresses.

11.   CITY: Enter the city, up to 20 characters for US addresses or the country name for non-US addresses.

12.   ST: Enter the two-character state abbreviation for US addresses. For a non-US address, this field must be left blank.

13.   ZIP: Enter the standard 5-digit or 9-digit US zip code. When entering a 9-digit zip code, the hyphen must be keyed. For a non-US address, this field must be left blank.

14.   CNTRY (Country Code): If the permanent address is a US address, ISIS will automatically enter XUS as the code for this 3-character field. If the address is not a US address, the country code must be a valid entry in table 103 beginning with the letter “X”.

15.   PERM PHONE: Enter the telephone number for the permanent address, including area code. If the country code is XUS, the telephone number must be numeric. If the country code is not XUS, this field may contain any combination of letters and numbers up to ten characters.

16.   OFF PHONE: Enter the office telephone number, including area code.

17.   EXT: Extension for office telephone number, if any.

18.   BIRTH DATE: MM DD YY.  If not known, enter 01/01/01.

19.   SEX: Enter m (male) or f (female).

20.   EO (Ethnic Origin): Enter ethnic origin code as found in Table 105.

21.   EDUC LEVEL (Educational Level): Enter the code for highest level of education completed.  Valid codes are found in Table 139.

22.   DEGREE PROGRAM: Enter the code for the off-grounds Masters' degree program, if any, into which the student has been admitted.  Valid degree codes are found in Table 131.

23.   DCE RES: Enter residency (V=Virgnian, N=Non-Virginian) for tuition calculation.

24.   GEOG ORIGIN (Georgraphic Origin): Enter "R" plus the postal code for the state.  Valid codes are found in Table 103.

25.   VA CITY COUNTY: Enter the code for the Virginia City/County in which the student resides if the Georgraphic Origin is RVA.  Valid codes are found in Table 102.

26.   DOMICILE: This field is display only.  V - Virginian, N = Non-Virginian.

27.   REG TYPE: This field is display only.  XNE = new student, XRA = previously enrolled student.

28.   PRES1, PRES2, PRES3, CITY, ST, ZIP, PH, CC: Follow the same guidelines listed above for the permanent address fields. If you would like to copy the permanent address, type *PERM in the first line of the present address (PRES1).


RAM - Address Format

The following is a brief guide to entering addresses into ISIS in the proper format, compiled from guidelines set by the US Postal Service. If you have any questions about format of a particular address, you may call
Robert LeHeup in the Registrar’s office at 434/924/4125.


Never use punctuation in either the address or NOK fields (unless the punctuation is part of the name).

The delivery address line, consisting of street address, post office box number, route number and box number, or highway contract number and box number, should appear on one line if possible.

When the address is too long to allow placement of the apartment number on the same line, the number should be placed on the line immediately preceding the delivery address line.

Use standard abbreviations for street designators. Use abbreviations for directions (East, West, North, South) when used with a street name, but not when they are themselves the street name.
