RAM - Address Maintenance


1.      ID NUMBER: The 9-digit student I.D. number.

2.      NAME: Entered as Last Name <tab key> : First, Other names. Used only when the I.D. number is not known.

3.      PERM1: Enter the first line of the permanent address. ISIS allows the copying of one address to the other by entering *XXXX on the first line of any address where XXXX=the address you wish to copy. Example: type *PRES if you would like the present address to appear as the permanent address as well. Next of kin addresses 1 and 2 may be copied using *NOK1 or *NOK2 in this field.

4.      PERM2: Permanent address line two, up to 30 characters. (see attached guide for details).

5.      PERM3: Permanent address line three, if applicable, up to 30 characters. Usually needed only for international addresses.

6.      CITY: Enter the city, up to 20 characters for US addresses or the country name for non-US addresses.

7.      ST: Enter the two-character state abbreviation for US addresses. For a non-US address, this field must be left blank.

8.      ZIP: Enter the standard 5-digit or 9-digit US zip code. When entering a 9-digit zip code, the hyphen must be keyed. For a non-US address, this field must be left blank.

9.      PH: Enter the telephone number for the permanent address, including area code. If the country code is XUS, the telephone number must be numeric. If the country code is not XUS, this field may contain any combination of letters and numbers up to ten characters.

10.  CC (Country Code): If the permanent address is a US address, ISIS will automatically enter XUS as the code for this 3-character field. If the address is not a US address, the country code must be a valid entry in table 103 beginning with the letter “X”.

11.  PRES1, PRES2, PRES3, CITY, ST, ZIP, PH, CC: Follow the same guidelines listed above for the permanent address fields. If you would like to copy the permanent address, type *PERM in the first line of the present address (PRES1).

12.  Next of Kin NAME: Enter the name of the next-of-kin as furnished by the applicant or student, up to 30 characters. ISIS allows for two separate entries for next-of-kin data (Next-of-Kin1 and Next-of-Kin2). If the student provides different addresses for his or her parents, entering data in NOK2 will produce mailings to both parents from organizations at the University. To enter the second name and address enter a 2 in the space following "NEXT OF KIN" and select the second next-of-kin with the PF12 key.

13.  NOK CODE: Enter the code of the relationship of the next-of-kin to the student. This field is required if a next-of-kin is listed. Valid values are in table 198. (P for parent and S for spouse are most common.)

14.  ADDR1, ADDR2, ADDR3, CITY, ST, ZIP, PH, CC: Follow the same guidelines listed above for the permanent address fields. If you would like to copy the permanent or present address, type *PERM or *PRES, respectively, in the first line of the next-of-kin address.

The following is a brief guide to entering addresses into ISIS in the proper format, compiled from guidelines set by the US Postal Service. If you have any questions about format of a particular address, you may call our office

Never use punctuation in either the address or NOK fields (unless the punctuation is part of the name).

The delivery address line, consisting of street address, post office box number, route number and box number, or highway contract number and box number, should appear on one line if possible.

When the address is too long to allow placement of the apartment number on the same line, the number should be placed on the line immediately preceding the delivery address line.

Use standard abbreviations for street designators. Use abbreviations for directions (East, West, North, South) when used with a street name, but not when they are themselves the street name.
