Diplomas for Spring graduates will be available for pickup at UREG (Office of the University Registrar) in Carruthers Hall on Monday, May 19, 2008, after 2:00 PM.

Degree Conferral for May 2008: Degree information for all schools except the Law School will not appear on the transcript until May 28th. The Dissertation and Thesis information may not be available for another 48 hours. To ensure an accurate transcript you should wait until June 2nd, to order an official copy.

Degree information for the Law School will not appear on the transcript until the week of June 16th.

Diploma Availability

To claim your diploma, bring a photo I.D. to UREG (Office of the University Registrar) during regular business hours. If you wish to have someone pick up your diploma for you, that person must bring a letter including your student I.D. number and signature giving them permission to claim your diploma. Diplomas can also be mailed upon payment of a mailing fee (see Diploma Mailing below). August and January graduates are asked to keep their permanent address updated in ISIS so that they will receive information about participating in the graduation ceremony on May 18, 2008.

  • If you plan to have your diploma framed, please note that framing processes that require heat can damage the diploma and should not be used.
  • While there is no "official" placement of the orange and blue ribbon, it is most commonly displayed diagonally across the top left corner, blue above orange. Replacement ribbon is available upon request at no charge.
  • Double majors are reminded that they receive only one degree—and thus only one diploma—but have both majors noted on their transcript.
  • Participants in a College Distinguished Majors or Honors program who received a blank diploma on May 18, will have their diploma mailed to the permanent address in ISIS at no charge. (Please complete the DMP mailing form; if you would like your diploma mailed to an address other than the ISIS permanent address. The mailing fee is waived for DMP/Honors students.)

Graduation Program: We have copies of the May 2008 Final Exercises program available upon request at no charge. The program lists degree recipients from August 2006, January 2007, and May 2007.

Diploma Mailing
If you cannot pick up your diploma in person, you can have it mailed to you by completing the mailing form and sending it to us with payment (sorry, we are unable to accept e-mail or faxed orders).

  • Please allow two weeks for delivery.
  • The fee is $9 for U.S. addresses or $19 for international addresses; make checks payable to University of Virginia. (Note: the mailing fee is not charged to May graduates who are in a College Distinguished Majors or Honors program, or to Graduate Commerce E&Y students.)
  • Bring the form and payment to (UREG) Office of the University Registrar in Carruthers Hall, or mail to:
UVA Office of the University Registrar
      PO Box 400203
      Charlottesville VA 22904-4203

Replacement/Duplicate Diplomas
Replacement Diplomas: Lost or damaged diplomas may be replaced upon written request and payment of the diploma fee and (unless diploma will be claimed in person) the mailing fee. Return of the damaged original with your request is required; if that is not possible because the original diploma is completely lost or destroyed, the replacement diploma will have the word 'replacement' inscribed at the bottom.

Duplicate Diplomas: A duplicate copy of a diploma may be requested upon payment of the diploma fee and (unless diploma will be claimed in person) the mailing fee. A duplicate diploma will have the word 'copy' inscribed at the bottom.

  • The replacement/duplicate diploma fee is $50; the additional mailing fee is $9 for a U.S. address or $19 for an international address.
  • Please state in your letter whether you are requesting a replacement or duplicate diploma.
  • Printing time is 3 weeks after we place the order; diplomas are ordered approximately the 15th of each month.
  • Replacement and duplicate diplomas are printed in the current format, including use of the signatures of the current president, dean, and registrar.
  • Bring the request letter and payment to UREG (Office of the University Registrar) in Carruthers Hall, or mail to:
UVA Office of the University Registrar
      PO Box 400203
      Charlottesville VA 22904-4203

Certifications: If you need a copy of your diploma for certification purposes, we recommend that you first verify that some other document won't serve the purpose. Usually, companies or government agencies are looking for official proof of graduation, and only in rare cases involving foreign governments is a copy of the actual diploma needed. A certification or transcript can be obtained for less cost and in less time (click here for information on how to order a certification). If you do in fact need a copy of your diploma for certification purposes, take your original diploma to a copy center and have an 8.5" x 11" photocopy made. Then, mail the photocopy to UREG (Office of the University Registrar) and we will certify and notarize it as being a true copy of the original.

For information on obtaining international authentification (also known as The Hague Apostille) on diplomas or diploma copies, contact the Virginia Secretary of the Commonwealth in Richmond.
