During
the fall and spring semesters, most faculty members (except those in the
professional schools) advise students on their academic progress and plans
for the coming semester. Undergraduates, in fact, are not able to gain access
to ISIS to enroll in courses without having first obtained an advisor access
code from their advisors. Advising is overseen by the individual deans'
offices; the Office of the University Registrar does not assign students
to you.
Advising
Access Code
If you are an undergraduate advisor, the Office of the University Registrar,
by way of the deans' offices, provides you with advising access codes
for each of the undergraduate students you advise. For the non-College
students, printed cards are distributed that list the first date and time
at which the student can begin to use the course enrollment functions
within ISIS. This card also indicates whether or not the student has any
registration blocks which will prevent enrollment. Special students and
those enrolled in the Teacher Education (TED) program or Graduate Nursing
program must obtain an access code from their advisor. The College of
Arts and Sciences does not use printed cards; faculty have access to times
and codes via the College's advising
database.
Of primary
importance to students is the advising access code itself, a random number
unique to each student (and bearing no relation to your individual instructor
number) which must be entered into ISIS as proof the student has met with
you. Students enter this number only once each semester, but it does change
from semester to semester.
When the
codes are assigned, your departmental liaison also receives a printed
list of advising access codes for all of your department's advisees, should
one of your advisees lose the number and have to contact you again. Since
the personnel in the registrar's and deans' offices have no way to know
if a student has met with you or not, they will not release an advising
access code under any circumstance.
Graduate
students, except in the School of Nursing, do not need an advising access
code. Graduates are released to ISIS based on the schedule posted in the
registration instructions.
VISTAA
The Virginia
Student Academic Audit (VISTAA) is a report designed to assist undergraduate
students and advisors in the advising process. It lists all the courses
which students have completed or in which they are currently enrolled,
grouped according to degree, major, and minor requirements, showing which
requirements have been completed and which remain to be fulfilled. Areas
which are not complete include a listing of the courses that fulfill them. Students
in all undergraduate programs may view their VISTAA report through
ISIS On-Line, and faculty may view reports for their
advisees.
Directions
for Faculty Advisors of Undergraduate Students:
- Log
on to ISIS Online at www.virginia.edu/isis and
enter your social security number and a 9-character password
- Once
you have logged in, select one of the options under the Faculty Advising
Access header if you are a faculty advisor
- " Dean’s-Association
List" - used only by College Association deans (requires
special access)
- " Individual
Student" - allows access based on student I.D. number
or name of a particular advisee (requires special access)
- " Faculty’s
Student List" - returns a list of all your advisees from
which you can select the student whose report you wish to view
- " Deg
Prg Student List" - returns a list of all students who
have declared a specific major/minor/concentration if you are
a department head (requires special access)
- Select
the student whose VISTAA report you want to view and click on the
VISTAA button
- On the
VISTAA Request/View screen, select "Request VISTAA Report"
- "Your
Request Has Been Submitted - Check Later" will appear
- Click
on"View VISTAA Report"
- If the
VISTAA Report has not yet finished running, you will be returned
to the main ISIS menu again; if it is ready, you will see the audit
report
- Scroll
through the report to view; the audit may be printed by clicking
on the "Print" button
- When
you have finished using ISIS Online, be sure to click on "Log
Out" (Exit) to end your ISIS session
