Creating
a Course
The person in the UREG (Office of the University Registrar) who oversees
ISIS course data is Pam
Lawson,
the Instructional Space Coordinator (982-2303). Just after the start of
each semester, you will receive a preliminary listing of courses for the
following semester. We start by listing all the courses you offiered the
corresponding semester in the previous year.
Changes
to course data are entered directly into the database by the liaison,
except within the College. In
the College, each departmental liaison receives the list of its courses,
desired changes are noted, and the list is returned to the UREG (Office of the University Registrar) for processing.
Setting
Enrollment Limits
The maximum allowable number of students in a course is set in ISIS. ISIS
will never allow a student to add a course if the maximum enrollment has
been met. This limit can be changed by using the CMN function on ISIS
or, for College departmental personnel, by contacting the facilities coordinator.
Course size should never exceed the maximum capacity of the room to which
the course has been assigned; contact the facilities coordinator if a
larger room is needed. A complete guide to the CMN function is in Course

Creating
Course Restrictions
Course restrictions are reviewed on the CRT function in ISIS. Restrictions
entered before the Course Offering Directory is sent to the publisher
are printed in the directory. Most liaisons have authorization to change
course restrictions, using the CRT function. A full description of CRT

Restrictions. Departments in the College not having direct
ISIS access can make changes in course restrictions by contacting the
facilities coordinator in the UREG (Office of the University Registrar).
Completing
Add/Drops
Students make most adds and drops by using ISIS. Whenever such actions
are not possible, the student completes a course action form. Most departments
within the College process course action forms for their own courses;
those that are not and all other schools should have students bring the
forms to their respective dean's office. Students taking courses outside
their school of enrollment must have the course action form processed
by the dean's office of the school in which they are enrolled (a law student,
for example, would submit a course action form for adding into a College
course to the law school). If you process course action forms, the ISIS
function used is RAD; an overview is in Course
Enrollment.
In the College,
departments should not add a student after the official add deadline or
drop a student after the official drop deadline. Since either action is
considered an exception to the official rules, the dean's office prefers
to review each one before it is made. In addition, any add or drop which
would put a student office for approval and processing.
If a student
cannot use ISIS because of suspended access or because final registration
has not been properly completed, the problem must be cleared up first.
You will not be able to make changes in the schedule of a student who
is not properly registered. Furthermore, a student should not use you
and a course action form as a means to circumvent an active registration
block.
Registration
Documents
If you are admitting or readmitting a student to your school, the student
enrolls in courses and registers in the usual manner. If the admittance
or readmittance is within two weeks of the first day of class, however,
you need to complete a registration document. A newly-admitted student
must bring to the UREG (Office of the University Registrar) a Biographic Data
form, prepared by the admissions office. A readmitted student must bring
an Attendance Record Create form from his or her dean's office. Both forms

Documents. Once we have processed the form, ISIS access is
activated immediately.
A registration
type commonly encountered in the dean's offices, especially in the graduate
schools, is the non-resident status. The non-resident form is also described
in Registration Documents.

Calendar
Start of Semester
Preliminary course rolls delivered; check that course data are correct.
End of
Add/Drop Period
Secondary course rolls delivered. Advise instructors to check that students
listed are in the course. As necessary, delete incorrect listings and
ensure that students who should be on the roll but are not are completing
course action forms. Make any necessary adds or drops to correct course
rolls.
Mid Semester
Review the following semester's course listings provided by the facilities
coordinator. Note any changes on list (for the College) or directly on
the database (for dean's office personnel).
End of
Semester
Grade sheets delivered; due 48 hours after final examination. Have the
sheets available for the UREG (Office of the University Registrar) to pick up,
or ensure that sheets are delivered to the office in Carruthers Hall.
