Billing: Frequently Asked Questions

Q. Are there charges at Student Health?

A. The student's comprehensive fee covers the cost of the professional visit with a care provider. However, you may receive medications, injections, labs, and supplies that are not covered by this fee. Student Health asks for payment at the time of service for these items.

Q. Will Student Health file to insurance?

A. The Laboratory and Pharmacy in Student Health are satellites of the UVA Medical Center. The Pharmacy files claims to most insurance companies. The Lab files claims for tests referred to the Medical Center Clinical Laboratories.

Always bring your student identification card, insurance card, and prescription card whenever visiting Student Health. Our staff can help determine what type of payment needs to be made at the time of visit and may send a copy of your insurance information to Clinical Laboratories in the Medical Center for insurance filing.

Q. If I am seen at UVA Health System, will my charges be covered as if I were seen at Student Health?

A. No. The UVA Health System and Student Health are separate facilities. Services and billing are managed differently. When scheduling a visit outside Student Health, ask about charges when making your appointment.

Q. May I get a prescription filled at Student Health if it's not from a Student Health provider?

A. Yes. We will need an original prescription from the physician, not a refill. For more information, please call the Student Health Pharmacy at (434) 924-1544. The Pharmacy accepts most insurance plans.

Q. How can I be reimbursed by my insurance company?

A. At the end of your appointment, ask the Front Desk Cashier for an invoice or “Walkout Statement” to send as an individual claim to your insurance company. Coverage depends on your plan's benefits. Contact your insurance company to determine coverage for Student Health services. If you choose billing by Student Health as your method of payment, you'll receive an invoice within 30 days. However, bills don't have the information (e.g. physician's name, diagnostic codes) that your insurance company needs to process the claim. The Walkout Statement includes these requirements.

Q. If I have the University-endorsed Aetna Student Health Insurance or Southern Health Insurance will my claims be filed?

A. Yes. If you have the Aetna Student Health or Southern Health insurance plans, Student Health will file claims for Student Health charges.

Q. Will I have to wait for lab results? Will I receive a bill for additional lab charges?

A. For routine lab tests, you usually do not have to wait for results. However, the lab may not know that additional testing is needed until after you leave. Your care provider will keep you informed regarding lab results as needed. Upon checkout, you will be asked to arrange payment. After your visit, you may receive another bill by mail if additional tests were performed.

Q. Once I receive my bill in the mail, how can I pay, and can Student Health bill my parents?

A. Invoices are mailed to students at the beginning of each month, and students have up to 30 days to pay for services. You can send a check, pay in person via cash, American Express, Visa, MasterCard, Discover, Cavalier Advantage, or have your parents call Student Health at (434) 243-2794 with their credit card number. Please understand that if your parents call Student Health to pay your bill, we cannot provide any information about your account nor can we send your bill to your parents' address. Bills will always be sent to your local address verified at each visit. If you choose to have the charges billed to your parents' insurance plan, your parents may receive a Statement of Benefits from the insurance company, listing the services provided.

Q. My graduation and/or registration have been blocked due to an unpaid Student Health bill. Why?

A. Student Health usually sends two monthly invoices to students and, if not paid within 60 days or returned due to an insufficient address, the account is referred to the Bursar's office for collection. It is at this point that a block is imposed on your ability to register or graduate.

Q. Do students enrolled in Summer Session have to pay a fee to obtain access to services?

A . Just as you pay fees along with tuition in the fall and spring, Summer Session students pre-pay for use of Student Health services. If you are NOT enrolled in Summer Session, continuing students may receive services by paying, out-of-pocket, the same fee as registered students pay with their summer tuition. Self-pay students may pay a monthly fee for one, two, or three months for Student Health services. (June, July, or August).

Q. Once I graduate from UVA and do not plan to pursue graduate studies at UVA, can I still go to Student Health for my healthcare needs?

A. No. Due to new federal regulations (Health Insurance Portability and Accountability Act or HIPAA), students who have graduated are not eligible for Student Health services. However, students may complete their care no later than one week after graduation or obtain a referral elsewhere for care or treatment.

Q. If I have the UVA Southern Health Insurance Plan, on my own or through my parent, do I need a Student Health referral before seeing a specialist?

A. . Southern Health plans do NOT have a referral requirement but may require a PCP selection.

Q. If I am covered under my parent's insurance or another plan and I need a PCP, whom can I choose?

A. You need to contact your insurance company to obtain a list of local providers who participate in your plan. Student Health is a participating PCP with Southern Health. Chickering doesn't require a PCP selection.

Q . If I am currently covered under my parents' insurance plan, do I need to purchase the Aetna Student Health Plan?

A. No. The University only requires that you have health insurance coverage. However, you may want to consider the following before making a decision:

1. Do you have direct access to local providers near UVA without having to pay higher out-of-pocket costs?

2. Are you required to get a referral from your HMO or PCP back home?

3. Do you have an international 24-hour medical assistance service while studying or traveling abroad?

Q. Where can I obtain additional information about the Aetna Student Health Insurance Plan?

A. UVA supports the Chickering Insurance plan, but other plans meet the University's insurance requirement. Chickering information can be obtained from the Front Desk Cashier at (434) 924-1523 or Insurance Liaison's office at (434) 243-2702. Q. Where can I obtain additional information about the Southern Health Insurance Plan?

A. Additional information regarding Southern Health services can be found at http://www.southernhealth.com/ or call the Customer Services Center at 1-800-627-4872. If you are calling because of a Student Health billing questions, please call the Front Desk Cashier at (434) 924-1523. For a referral question, call the Insurance Liaison and Referral Coordinator at (434) 243-2702.

Q. Where can I obtain information about the military Tricare Insurance Program?

A. Additional information regarding the military Tricare Insurance Program can be found at http://www/healthnetfederalservices.com or call the Customer Service Center at 1-877-TRICARE.
Student Health is not a Tricare participating provider. At the end of your appointment, ask the Front Desk Cashier for an invoice or “Walkout Statement” to send as an individual claim to your insurance company. Coverage depends on your plan's benefits.
