Registration and Academic Procedures

    The Summer 2009 Record includes all Academic, Non-Academic, and Financial Policies and Procedures as well as Course Descriptions and is available for general information. Summer 2010 Record (Catalog) will be available in early spring.

Summer Session students are subject to the University of Virginia's academic, financial, and non-academic rules and regulations. Students enrolled in a UVA Summer Session course are expected to attend each class meeting.


Admission

The following students must complete a Summer Session application:

  • U.Va. students receiving a degree in May 2010.
  • U.Va. students not in residence during the spring 2010 semester. This does NOT include U.Va. students enrolled in a U.Va.-approved study abroad program during spring 2010.
  • Students not enrolled in a U.Va. degree program.

How to Register (Acceptance Precedes Registration)

General Information

  • Choose your courses carefully. No tuition refunds or tuition credits can be made after the second day of class.
  • You will be assessed a $25 late fee if registration is completed after your course has begun.
  • If you are enrolling in research or independent study, you will need the instructor number of the faculty member directing your research. Click here to access Instructor Numbers.
  • For variable credit courses, indicate the number of credits for which you wish to enroll.
  • To enroll on a credit/no credit or audit basis, follow the regulations of your school or home institution and select the appropriate grade option. See Undergraduate or Graduate Record for academic policies.
  • The cost of auditing a course is the same as the cost of taking the course for credit.
  • Total charges will include any past-due amounts (regular semester tuition, parking tickets, library fines, etc.) as well as all Summer Session tuition and the comprehensive fee. The comprehensive fee covers use of University transit, escort services, recreational facilities, Newcomb Hall operation, and Student Health. Support for WTJU, classroom renewal fee, technology fee, arts fee, and E & G facilities debt service is also provided through payment of the comprehensive fee.
  • If you pay tuition and fees by check, at the Cashier's Office in Carruthers Hall, do NOT include room rent, food money, or "pocket" money in the check amount. Refunds require up to two weeks to process.
  • Once registration has been completed, any Summer Session student who does not have a valid U.Va. student ID may receive one at the University ID Card Office, located in the lower entrance level of the Observatory Hill Dining Hall at the corner of McCormick and Alderman Roads. Students must have a U.Va. computing ID and must bring a valid, government-issued photo ID (drivers license, passport or military ID). Office hours are Monday through Friday 8:00 to 4:45. There is no charge for an initial ID card. There is a $15 charge for replacement of a lost card, payable by cash, check or Cavalier Advantage.

Notes:

  • College of Arts and Sciences: Students who have been granted a suspension-in-abeyance or who are on academic warning must obtain the permission of their Association Dean or the Dean of the Day on their Add form. For College students academic suspension begins at the end of the spring semester and takes precedence over any earlier plans to attend Summer Session, here or elsewhere. Suspended students who enroll in a U.Va. Summer Session course will have their registration cancelled.
  • College students may not, under any circumstance, enroll in more than two courses per session.
  • Curry School of Education: Students enrolling in more than 9 credits for the entire summer session must obtain the permission of the Associate Dean.
  • Engineering and Applied Science: Students enrolling in more than 10 credits must obtain the permission of their Dean.
  • Graduate Engineering and Applied Science: Students auditing a course must obtain the permission of their Advisor.

Honor System Meeting

  • If you did not attend the University of Virginia during 2009-2010, you must attend an Honor System Meeting on the evening of the first day of classes. All Honor System meetings will take place at 5:00 P.M. in the Newcomb Hall 4th Floor Trial Room.

Late Registration

  • Registration will be on-line through the Student Information System (SIS). Late registration procedures are being revised for the upcoming 2010 Summer Session and will be posted here in early Spring.

Dropping a Course

After Course Registration is Completed until Course Mid-Point

  • You may drop a course, and remain enrolled in other Summer Session courses, before 4:30 P.M. on the course mid-point.

  • Procedures for dropping a course through SIS are being revised for the upcoming 2010 Summer Session and will be posted here in early Spring.
  • If the course is dropped by 4:30 P.M. on the second day of class, you will receive a full refund for your tuition. After the second day of class, tuition cannot be refunded or credited.
  • If you have received financial aid for Summer Session, notify Student Financial Services that you are dropping a course. Dropping below 6 credits (for undergraduates) will result in all summer financial aid being cancelled. Students taking fewer credits than indicated on the summer session financial aid application will have their aid reduced. (Remember all undergraduate students must take a minimum of 6 credits and all graduate students must take a minimum of 3 credits to receive financial aid.)

Withdrawing from a Course

  • If you have already completed a Summer Session course or you are enrolled in more than one Summer Session course, you may withdraw from a course between the midpoint and the course withdrawal deadline.

Visiting Students Summer Session Director

  • Course will appear on your transcript with the grade of W, WP, or WF as assigned by your instructor.
  • Tuition cannot be refunded or credited to another course.
  • If you have received financial aid for Summer Session, notify the Financial Aid Office that you are withdrawing from a course. Dropping below 6 credits (for undergraduates) will result in summer financial aid being cancelled. Withdrawing from Summer Session

No Summer Session course will be completed.

If you cannot report in person because of ill-health, ask Student Health or your Dean to contact the Office of Summer and Special Academic Programs and recommend withdrawal.

Note: McIntire School of Commerce students are NOT allowed to withdraw from Summer Session courses.

Changing Grading Option

Procedures for changing grading option are being revised for the upcoming 2010 Summer Session and will be posted here in early Spring.

Summer Degree Candidates

Candidates who will enroll for neither a class nor research credits and who will have completed, by June 1, all work towards an August degree should register for Non-Resident through their own schools by June 1. This requires payment of a $158.00 fee.


Thesis or Dissertation Research

Graduate Students only registering for thesis or dissertation research must register by July 12. Curry School of Education students enrolling in thesis or dissertation research must register by July 19. Check with your department, since the terms of some grants, fellowships, and jobs may require you to register earlier. August degree candidates must be registered by June 7.
