Continuation Requests
Protocol approvals are given for a one-year period that begins on the date of the Board’s action, not on the date that researchers submit revisions or begin to collect data. A Protocol Status Form (DOC) must be submitted for continuation approval if the project will extend beyond the one year period. Requests for the continuation of projects beyond the third project year must be resubmitted using the full protocol template. If your protocol expires, you must resubmit a full Protocol Form (DOC). Please note that if your protocol is exempt, you do not need to submit a request for continuation. For more information, please see Exemption.
Policies for continuation requests:
- Continuation requests do not include a section to describe modifications. All modifications must be reported on a separate modification form.
- Continuations will be reviewed at the meeting prior to the protocol’s expiration date so as to allow the researcher the full year for approval or exemption. In order to include your continuation in the upcoming meeting, please submit it no later than the Monday one week prior to the meeting by 5PM. (For example, if the meeting were on October 12th, you would need to submit the continuation by October 3rd.)
- Continuations will not be pre-reviewed. However, if the protocol was expedited for its original review, it may not need full board review (pending that the level of risk has not changed). The SBS Staff will provide you with further direction regarding the review status.
- To submit a continuation request, email a completed Protocol Status form and consent forms (if you use them in your study) to irbsbs@virginia.edu. Send a copy of the Protocol Status form with all appropriate signatures to the IRB-SBS office. Signed materials can be submitted by mail, fax (924-1992), or email (scanned document to irbsbs@virginia.edu).
Suggestions for continuation submissions:
- Please check your consent forms to make sure that they are correct and updated. Please note that contact information may have changed. Make sure that the title on the consent form matches the title on the protocol form.
- In the IRB-SBS contact information, please change the chair's name to Tonya Moon and make sure our contact information is correct.
