Reservations, Eligibility, and Billing

University Transit Service's charter services are provided for University-affiliated groups and functions only. Outside groups wishing to utilize UTS charter services must secure a sponsor within the University.

Charter services are billed after the completion of an event and calculated upon actual startup, shutdown and running times. Questions regarding your charter requests and reservations should be directed to the Transit office at (434) 924-6816. Questions about your billing should be directed to the Parking and Transportation Business Office at (434) 924-7232.

In order to confirm a reservation for a University of Virginia Department or direct affiliate UTS requires a valid PTAO number and/or billing address. Reservation confirmations for non-affiliates require a deposit of 10% of the estimate balance in order to guarantee service. Reservations are made on a first-come, first-served basis.

If you prefer to submit your request via mail, please include the following information:

  • your name
  • date of charter
  • your group name
  • PTAO number, if applicable
  • number and types of buses (a rough head count is helpful as well)
  • your pick-up point and destination
  • pick-up time and approximate return time
  • your billing address
  • your phone number
  • your fax number, if applicable

This information should be submitted in writing at least ten days prior to the event date.

You will receive a confirmation by email once the request has been processed. If you do not have a confirmation letter within two weeks of placing your request or within four days of your charter, please email utscharters@virginia.edu or call (434)924-6816 to check on its status.
